About the Opportunity
Our client, a highly respected Canadian organization, is seeking an experienced Executive Assistant to join its executive support team on a contract basis.
This is an excellent opportunity for an Executive Assistant who is available to start immediately and make an impact from day one. The role offers the chance to work closely with senior leadership, showcase your capabilities in a hands-on environment, and be considered for future opportunities within the organization.
You will provide dedicated support to multiple members of the C-Suite and play a critical role in ensuring the smooth day-to-day operation of executive offices.
The ideal candidate possesses a "Chief of Staff" mindset—someone who can anticipate needs, connect the dots, manage competing priorities, exercise sound judgment, and confidently move initiatives forward with minimal direction.
Key Responsibilities:
- Provide executive-level support to multiple C-Suite leaders
- Manage complex calendars, scheduling, and meeting coordination across multiple stakeholders and time zones
- Coordinate domestic and international travel arrangements, including detailed itineraries and logistics
- Prepare presentations, reports, executive correspondence, agendas, and briefing materials
- Ensure executives are prepared for meetings through the coordination of materials, action items, and follow-up activities
- Process and reconcile executive expenses
- Act as a trusted liaison between executives and internal and external stakeholders
- Manage highly confidential and sensitive information with discretion and professionalism
- Anticipate executive needs, identify potential challenges, and proactively implement solutions
- Support strategic initiatives, special projects, and broader administrative priorities as required
What We're Looking For:
- 4-5+ years of Executive Assistant experience supporting senior executives or executive leadership teams
- Proven ability to manage multiple priorities within a fast-paced corporate environment
- Advanced proficiency with Microsoft Office, including Outlook, PowerPoint, Word, and Excel
- Strong experience preparing executive presentations, reports, and business materials
- Exceptional organizational skills and attention to detail
- Strong business acumen, professionalism, and discretion
- Highly proactive, resourceful, and solutions-oriented approach
- Ability to work independently and confidently with minimal oversight
