Our client, a well-established retirement community in Vaughan, is seeking a personable, organized and detail-oriented Office Manager to oversee daily administrative operations and provide support to its management team on a 12-month contract.

This is an excellent opportunity for an experienced administrative professional who enjoys a varied role combining office coordination, payroll administration, resident services and general operational support. The successful candidate will play an important role in keeping the office running smoothly while providing a welcoming and professional experience for residents, families, visitors and staff.

Responsibilities will include:

- Coordinate day-to-day office administration and provide support to the management team
- Assist with payroll administration, including payroll entry, updates and maintaining accurate employee information
- Maintain organized resident files, employee records and confidential documentation
- Assist with rental payment processing, invoicing and general accounting administration
- Support resident move-ins, including documentation, coordination and administrative follow-up
- Prepare correspondence, spreadsheets, reports and other administrative documents
- Act as a key point of contact for residents, families, visitors and internal team members
- Coordinate office supplies, administrative processes and general front-office operations
- Provide support and coverage to the Concierge team as required
- Assist with additional administrative projects and operational needs as they arise

What we're looking for:

- Previous experience in office management, administration, payroll coordination or a similar role
- Hands-on experience supporting payroll administration and maintaining accurate employee records
- Experience with Dayforce is a strong asset
- Background in retirement living, healthcare, hospitality, residential property management or another service-oriented environment is an asset
- Excellent organizational skills and the ability to manage multiple priorities in a busy environment
- Strong written and verbal communication skills with a warm, professional and approachable manner
- Strong attention to detail and discretion when handling confidential information
- Proficiency with Microsoft Office, including Excel, Word and Outlook
- A proactive, flexible and team-oriented approach with the ability to work independently
- A valid driver's licence and access to a vehicle
