About the Role
We are seeking a Bilingual Administrative Assistant to support a busy, professional office environment in Ottawa. This role acts as the first point of contact for visitors while providing administrative, coordination, and office support to a collaborative team.
This position offers a hybrid work model following initial onboarding and training.
Key Responsibilities:
- Coordinate and schedule meetings, including booking rooms, setting up logistics, and supporting attendees.
- Provide administrative support including formatting documents, preparing presentations, and managing correspondence.
- Manage calendars and assist with travel arrangements and expense processing.
- Welcome clients and visitors in a professional and friendly manner.
- Support onboarding of new hires, including office tours and setup.
- Process a high volume of invoices for approval (no direct finance responsibilities).
- Maintain office supplies, coordinate equipment maintenance, and ensure the office is well organized.
- Assist with meeting minutes, reporting, and document preparation.
- Liaise with internal teams such as HR, IT, and accounting.
- Support internal communications, events, and general office coordination.
- Maintain organized digital and physical filing systems.
Qualifications:
- 1 to 3 years of administrative or office support experience
- Bilingual in English and French (required)
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to manage multiple priorities and work under pressure
