Our client, a boutique law firm in Toronto, is seeking a highly organized and proactive Legal Administrator to provide dedicated support to a Partner and team of Associates within their Civil Litigation practice. This role is ideal for someone who thrives in a fast-paced environment, enjoys managing competing priorities, and takes ownership of both administrative and litigation support functions.
Key Responsibilities:
- Provide direct administrative and litigation support to a Partner and team of Associates, including managing calendars, scheduling meetings, and coordinating appointments.
- Prepare, format, edit, and proofread legal documents, correspondence, and reports.
- Manage and organize physical and electronic legal files, ensuring accuracy and accessibility.
- Track deadlines, maintain bring-forward systems, and ensure timely follow-up on key tasks.
- Coordinate the filing and service of legal documents with courts, tribunals, and external parties.
- Assist with billing processes, invoice preparation, and expense tracking.
- Support document management processes, including scanning, uploading, and maintaining databases.
- Conduct basic legal research or assist with gathering information as required.
- Provide general administrative support, including handling incoming calls, emails, and ad hoc requests.
Qualifications & Skills:
- 3+ years of experience in a Legal Administrator, Legal Assistant, or similar role.
- Strong organizational and time management skills, with the ability to handle multiple priorities.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to work both independently and collaboratively within a team.
- Strong sense of professionalism and discretion when handling confidential information.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat.
- Experience with legal document management systems (e.g., iManage, NetDocuments) is an asset.
