Our client, a well-established organization within the commercial building solutions industry, is seeking a detail-oriented and highly organized Payroll & Benefits Specialist to join their Human Resources team in Vaughan. Reporting to the Senior HR Leadership Team, you'll play a key role in ensuring the accurate administration of payroll, benefits, employee data, and reporting across multiple Canadian business units.

What You’ll Be Doing:
Payroll Administration
- Process semi-monthly payroll for approximately 240 employees across multiple Canadian provinces.
- Prepare payroll data and input files for submission through ADP Workforce Now.
- Manage employee lifecycle transactions including new hires, terminations, leaves, transfers, and employee changes.
- Review payroll reports to ensure accuracy and resolve discrepancies.
- Coordinate payroll coverage and support fellow Payroll Specialists during absences and peak periods.
- Administer payroll-related compliance requirements including ROEs, T4s, T2200s, pension reporting, workers' compensation filings, and government remittances.
Benefits Administration
- Administer employee benefit, pension, RRSP, and savings plans.
- Manage benefit enrollments, changes, terminations, and leave of absence administration.
- Liaise with benefit providers, brokers, and internal stakeholders.
- Support annual renewals and ongoing benefits-related projects.
Reporting & Analysis
- Prepare recurring and ad hoc payroll, benefits, and workforce reports.
- Perform reconciliations, benefits billings, intercompany allocations, and payroll-related reporting.
- Utilize advanced Excel functions to analyze, validate, and manage large data sets.
- Support Finance and HR with reporting requirements and data requests.
Process Improvement
- Identify opportunities to improve payroll efficiency and reporting processes.
- Assist with system upgrades, HRIS enhancements, and payroll-related projects.
- Maintain payroll procedures and documentation to ensure consistency and compliance.
What We're Looking For:
- 3+ years of hands-on payroll processing experience.
- Strong experience using ADP Workforce Now (or similar ADP payroll platform).
- Advanced Microsoft Excel skills, including working with large and complex datasets.
- Experience administering employee benefits programs.
- Knowledge of Canadian payroll legislation and multi-provincial payroll practices.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent analytical, problem-solving, and communication abilities.
- Experience supporting payroll audits, compliance reporting, and year-end processes is an asset.
