Position: Paralegal (Administrative Law)
Location: Mississauga (Hybrid)

Our client, a regulatory body, is seeking a Paralegal to join their organization! This role delivers comprehensive administrative and legal support to the Prosecutions team, playing a key role in the effective delivery of enforcement and litigation activities. The position is responsible for managing case workflows from intake through resolution, maintaining accurate records, coordinating with internal and external partners, and supporting proceedings before administrative tribunals and the courts.

Core Responsibilities:

Administrative Penalty Order (APO) Coordination
- Oversee the full APO lifecycle, including file intake, review, issuance, service, and follow-up activities.
- Establish and maintain complete, accurate APO records and tracking tools.
- Arrange service of Notices of Intent and APOs via electronic and physical delivery methods.
- Monitor shared APO inboxes and respond to stakeholder inquiries, including requests for extensions and early payment arrangements.
- Collaborate with internal teams (including Prosecutions, Finance, Licensing, and Client Service Centres) to support issuance, billing, and file resolution.
- Track key deadlines, payments, and outcomes, and identify opportunities to enhance administrative processes.

Appeals Intake and File Management
- Receive and process appeals, creating and maintaining appeal files within internal systems.
- Coordinate administrative requirements related to Orders, APOs, and Notices of Proposal, including document production, stays, and invoice adjustments.
- Notify Legal Counsel of new appeals and ensure all related correspondence is properly documented.
- Provide administrative support to external counsel, including conflict checks, file setup, and secure document exchange.
- Monitor appeal timelines, hearing notices, and information requests, ensuring systems and calendars remain up to date.

Prosecutions File Administration
- Manage intake of prosecution matters, including file creation and data entry in case management systems.
- Maintain organized and current prosecution records, such as dockets, correspondence, and court documentation.
- Track court schedules and prosecution inboxes, calendaring appearances and deadlines as needed.
- Coordinate responses to document requests from internal partners and external legal counsel.

Legal and Prosecution Support
- Assist with case analysis, evidence review, and legal research.
- Draft charges, pleadings, and related materials for administrative and court proceedings.
- Prepare affidavits, organize evidence, and support witness preparation for hearings and trials.
- Represent the organization in administrative tribunal proceedings and before the Ontario Court of Justice, including hearings, trials, pre-trials, and interlocutory matters.
- Monitor and report on file progress, outcomes, and key procedural milestones.
