Purpose of the Role

We are seeking a Procurement Coordinator to support and drive procurement, contract management, and outsourcing initiatives across the organization. Reporting to the Procurement Consultant, the Coordinator will lead procurement activities, ensure accurate documentation and filing, and provide expert guidance throughout all stages of the procurement process.


Key Responsibilities:

- Coordinate province-wide assessment initiatives by gathering procurement-related information, preparing documentation, consulting with management, and assisting with logistical analysis.
- Support the competitive tender process, including the preparation of Request for Services (RFS) documents in compliance with established procurement guidelines and public sector rules.
- Contribute to procurement planning, strategy development, business case preparation, and cost-benefit analyses to optimize procurement outcomes.
- Maintain and foster strong relationships with vendors by providing guidance on procurement processes, addressing inquiries, and escalating issues as appropriate.
- Draft memos and updates for senior management regarding policy changes, new directives, and procedural updates.
- Attend procurement meetings, take accurate notes, track action items, and provide timely updates on procurement activities.
- Assist in reviewing and enhancing internal procurement and contract management procedures to streamline administrative processes.
- Utilize internet systems and office applications (word processing, spreadsheets, presentation tools) to support procurement documentation and reporting.

Qualifications & Experience:

- Proven experience in procurement coordination, contract management, or related administrative roles.
- Strong understanding of procurement processes, competitive tendering, and vendor management.
- Excellent written and verbal communication skills with a professional, collaborative approach.
- Detail-oriented with strong organizational and time management abilities.
- Proficiency in Microsoft Office Suite and other relevant software applications.
